The Challenge

A fuel equipment and distribution company supplying gasoline station pumps, equipment, and related accessories needed a more integrated way to manage its growing operations.

Its activities span sales, procurement, multiple warehouses, inventory movements, financial transactions, employee expenses, projects, light manufacturing activities, and workforce processes.

As operational complexity increased, the company needed greater control over how information moved between departments, which users could access sensitive information, and how transactions were authorized and recorded.

Karez Technologies was engaged to analyze these requirements and implement an ERP environment built around the company’s operational workflows.

Understanding the Business Before Configuring the System

The project began with process analysis rather than software configuration.

Karez worked with stakeholders to understand existing workflows, responsibilities, approval requirements, reporting needs, access restrictions, warehouse operations, and accounting processes.

These requirements were then translated into an integrated ERP structure.

This approach helped ensure that the system reflected how the company actually operates rather than forcing its operations into a generic software template.

The Solution

The ERP implementation brought several core business functions into a connected environment:

Accounting

Financial transactions, receivables, payables, payments, journals, opening balances, analytic accounting, and reporting.

Sales

Customer quotations, orders, invoicing, customer references, and related commercial workflows.

Purchasing

Supplier procurement, purchase orders, replenishment, and purchasing workflows.

Inventory & Warehousing

Multi-warehouse operations, internal transfers, stock controls, replenishment, inventory adjustments, and material movements.

Expenses

Employee expense submission and approval workflows with appropriate levels of control.

Projects

Project-related operational and financial information connected with the wider ERP environment.

Manufacturing

Support for manufacturing and internal operational processes within the same business platform.

Workforce Processes

Support for relevant employee and payroll-related workflows.

Improving Internal Controls

A significant part of the project focused not only on functionality but also on who should be able to do what.

Different responsibilities required different levels of system access.

The implementation therefore included controls around areas such as warehouse access, transaction validation, financial information, journals, expenses, inventory operations, and other sensitive business data.

This created a more structured separation of responsibilities while allowing employees to access the information necessary for their roles.

Multi-Warehouse Operations

The company’s operations required inventory to move across different warehouses and operational locations.

Karez configured workflows to provide greater structure around internal transfers, inventory movements, replenishment, and stock control.

The objective was to make physical material movement more accurately reflected within the digital system.

Financial & Analytical Visibility

The accounting environment was configured to support the company’s operational structure, including customer and supplier balances, payments, journals, analytic distribution, and financial workflows.

Connecting accounting with sales, purchasing, inventory, expenses, projects, and other operations reduced the separation between operational and financial information.

Business-Specific Requirements

Beyond standard ERP configuration, the implementation addressed a range of company-specific requirements involving:

  • User and warehouse access controls
  • Approval and validation permissions
  • Financial information visibility
  • Inventory transfer processes
  • Expense approval workflows
  • Product and operational information
  • Analytic accounting
  • Reporting requirements
  • Business document layouts
  • Multilingual operational requirements

This allowed the ERP environment to better reflect the company’s real operating procedures.

The Result

The implementation established a unified ERP environment connecting the company’s major business functions, including finance, sales, purchasing, inventory, expenses, projects, manufacturing, and workforce processes.

Operational and financial information can now flow through connected workflows rather than being managed as isolated activities, while role-based controls provide greater structure over access, validation, and sensitive business information.

The resulting system provides the company with a stronger digital foundation for operational control, reporting, and continued process improvement.
